Phases & Gates Workflows

Tasks can be identified as a Phase or a Gate based on the Workflow associated to it.

By default, the Default Permissions (Users allowed to read or write the object) and the Default Responsibles (Users responsible for moving an object from one state to another) are set to all users at the Workflow level.

The following can occur upon changing the Workflow State:

  • The user will be prompted with a dialog box that allows him/her to enter comments.

  • The user will be prompted to update Deliverables upon selecting the last workflow state for Phases and Gates.

  • Upon changing the Gate workflow state to Approved, the Manage Baselines dialog box is displayed. It enables users to save a baseline.

  • Upon approving a Gate, the user will be prompted to enter the date to consider as the Gate Actual date (Planned date, today’s date, or a specific date) and the % Completed will be fulfilled with a 100% completion.

  • Upon completing a phase whose % Completed is not 100%, the user will be prompted to update the % complete value.

  • The user will not be able to approve a Gate if all the Deliverables marked as “Mandatory” are not 100% Completed.

Settings

The Administrator can disable some of the features listed above by deactivating the following options available in the System Settings workspace, Project Settings folder, Workflow Options tab:

  • Enable Task Workflow Comments

  • Enable Task Deliverables Pop-up upon Changing State

  • Enable Save Baseline upon Changing Gate State
